Building and Maintaining an Equipment Master List

If a calibration program has a single foundation, it is the equipment master list — the one controlled record of what you own, its status, and when it is due. Get this right and recall, audits, and impact assessments all get easier.

The fields that matter

A useful master list identifies and tracks each controlled instrument:

  • Unique ID / asset number and description (make, model, serial)
  • Location and owner
  • Calibration status, last calibration date, and due date
  • Interval and its justification
  • Accredited vs. traceable requirement, and range/tolerance in use
  • Certificate reference (link or file location)

Keep it controlled and current

The list only works if new instruments get entered before use, retired ones are marked, and one owner keeps it current and drives recall. Tie it to your recall system (or a portal like ours) so due dates trigger action automatically. When an out-of-tolerance event or audit hits, this single record is what lets you answer "where was this used and what is its status?" in minutes instead of days.
